A sensible order for the first week. Each step makes the next one easier, so it is worth doing roughly in sequence.

Day 1 — the building

  1. Building FloorsSettings → Tenancy. Add every level and drag them into the order the building actually stacks. Everything else groups by this, so do it first. See Building floors, and how locations work.
  2. Offices and rooms — each on its floor.
  3. Branding — logo, colours and domain, so what tenants see is yours from the start. See White-label branding.

Day 2 — people

  1. Team members — invite your staff with the right roles. Admin accounts are capped by package (3 on Starter, 10 on Professional), so make people Staff unless they genuinely need settings. See Inviting your team.
  2. Contacts — import your tenant companies and contacts from CSV. See Importing contacts.

Day 3 — the service desk

  1. Ticket categories — set the Default Assignee and the Response and Resolution hours against what your tenancy agreements actually promise.
  2. Who can be assigned tickets — tick the roles that take work, including Cleaner if your cleaners handle small jobs.
  3. Email — set your sending provider, then pipe your support mailbox in so tenant email becomes tickets. See Choosing how your email is sent and Piping a mailbox in.

Day 4 — money

  1. Xero — connect, choose the invoice direction, and map the sales and expense categories to their accounts. See Connecting Xero.
  2. Stripe — if you want card payment at the point of booking. See Taking card payments.

Day 5 — operations and tenancies

  1. Compliance certificates — load them all, including expired ones, so the gaps are visible.
  2. Recurring maintenance and housekeeping — set the schedules, shifts and floors.
  3. Reminder timing — the due-soon warning, the reminder chain, the compliance warning and the overdue chase. See Choosing how your email is sent.
  4. Tenancy templates, and the landlord signature witness — upload your templates, sign, and have a witness complete the witness section. Tenant signing links stay paused until the landlord signature is witnessed, so do not leave this to the day you need to send a contract. See Creating a tenancy contract.
  5. Keys — register the physical stock before you start issuing.

Get the mobile app installed on the phones of everyone who works in the building, and open the tenant portal to your tenants.
