Before you start

Get the spreadsheet right before importing — fixing 200 badly imported contacts by hand is worse than spending twenty minutes on the CSV.

  • One row per person, not per company.
  • Company name spelled identically on every row for the same company. "Acme Ltd", "Acme Limited" and "acme ltd" will create three companies.
  • Email addresses valid and unique. Email is how WorkHub matches a person to inbound mail and to a portal login.
  • Strip anyone who's already left.

Importing

Contacts → Import Contacts from CSV. Upload the file, map each spreadsheet column to a WorkHub field, and review the preview before committing. Rows that can't be read are reported rather than silently dropped.

Imported contacts are flagged

Imported records are marked Imported, so you can find them again — handy if a mapping turns out to be wrong and you need to identify what came from which file.

Do a test run first

Import five rows. Check the companies, the emails and the phone formatting look right. Then import the rest. A five-row mistake takes two minutes to clear up; a 400-row mistake takes an afternoon.

Afterwards

The import creates people and companies. It does not create tenancies — go on to create a tenancy contract for each live lease, or your occupancy and rent figures will read zero.
